Thank you for your interest in hosting a fundraising event to benefit NorthShore University HealthSystem (NorthShore). We want your fundraiser to be successful, and we’re here to help you through the process. Offer advice with event planning details

  • Establish an event agreement that defines the responsibilities and expectations of both parties.
  • Share event best practices and a step-by-step guide.
  • Brainstorm ideas.
  • Offer suggestions and recommendations.

 

Provide event materials

  • Provide signage, brochures and informational literature about NorthShore University HealthSystem (NorthShore) and our Foundation, as well as NorthShore’s clinical areas.
  • Provide and approve the use of NorthShore’s logo and informational boilerplate.
  • Help draft copy for invitations and event promotion.

 

Advertise your event

  • List the event on NorthShore Foundation’s Community Partner Events website with a link to the event website (where applicable).
  • Collaborate with the Foundation’s public relations firm to advertise the event in calendar listings and local press.

 

Logistics

  • Help determine how funds will be collected—e.g., online, checks, credit cards, etc.
  • Offer the option of making a direct contribution to NorthShore via a dedicated online donation website.
  • Note: The Foundation will acknowledge all direct contributions made to NorthShore that result from your event with a tax-deductible receipt.

 

On-site assistance

  • If desired, a NorthShore representative can attend the event and help provide event guests with an overview of NorthShore or the clinical area being funded.
  • Represent the Foundation for a check presentation (if applicable).

 

Your Role

We started talking about all of our friends in the area who have been diagnosed over the years and thought we had to share this special walk with them. We knew how much they would enjoy it and what a special gift it is to mothers.

Define event concepts

  • Identify the type of event and other specifics, such as the date and location.
  • Determine which clinical area your event will benefit (if applicable).
  • Create your event message.

 

Gain approval

  • Review NorthShore’s Community Fundraising Partner regulations, paying close attention to financial and promotional guidelines.
  • Submit the completed Community Fundraising Partner proposal form to NorthShore Foundation, ideally at least 90 days before your proposed event date.

 

Details

  • Create a fundraising plan with a goal and budget.
  • Plan anticipated event expenses to keep your event finances on track.
  • NorthShore will not reimburse expenses related to Community Partner Events.
  • Establish a timeline to know when important tasks must be completed.
  • Secure vendors, sponsors and volunteers for your event.
  • Obtain any necessary permits, licenses or insurance.

 

Execution

  • Mail and/or e-mail invitations to everyone you know! This could include friends, family members, co-workers, neighbors, or anyone with an interest in the clinical area you’re supporting.
  • Review your fundraising plan, budget, timeline, and vendor and volunteer tasks to make sure you’re on track.
  • Take pictures during the event and share updates on your own social media channels. Encourage others to do the same!
  • Enjoy the event, and congratulate your volunteers for their work to support research and patient care at NorthShore.

 

Follow-up

  • Share photos and fundraising totals with NorthShore shortly after the event for post-event publicity, if applicable.
  • Acknowledge and thank your donors, participants, sponsors and in-kind donors.
  • Send collected funds to NorthShore Foundation within 30 days of your event.
  • NorthShore Foundation can continue to support your cause by sharing relevant research news, updates and information with participants.
